Quick facts

Situation: Kendris wanted to centralize event communication for their popular golf events using a reliable and automated system, to ensure that no questions remain unanswered – from registration to travel.

Challenge: The biggest challenge that Kendris faced was they didn't want to overwhelm people by asking for lots of information up-front at registration. Some of the information they needed to capture would be necessary to know, to ensure the right information was available to the organization, but they wanted to do this incrementally and automate the email process rather than have a manual send.

Solution: Aivie implemented Mautic for Kendris, allowing them to take advantage of progressive profiling to capture information like the golf handicap and name of their golf club after registration, which enabled the organization to add this to the customer's profile. They also were able to automate the sending of all event-related email, substantially reducing the effort needed to manage the event communications.

Results: With the automated e-mails and progressive profile building, customers receive exactly the information they need in the moment. So they don’t have to ask themselves: What am I supposed to do with this now?

The client

Kendris is a successful trust company. As is common in the industry, Kendris also relies on building of personal relationships and has high quality standards.

Background

Until now, an invitation was sent manually by mail. The registrations were entered into a list. A reminder email was also sent manually. A contact person is available to answer questions. In other words, Kendris spends a lot of effort around the event on interactions that don’t add much value. 

Why Mautic?

The aim for this Project was to

  • accompany clients every step of the way: from registration to arrival,
  • deliver organizational information proactively, exactly when it is relevant,
  • monitor feedback and respond with reminders and follow-ups.

Mautic was selected because it allowed Kendris to perform progressive profiling to capture the information that was required, while also being able to automate all of the email communication processes including reminders and follow up emails.

Outcomes

Customers now receive an event announcement by email. A link in the email takes them to the registration form, where they can register and receive immediate confirmation.

Shortly before the event, up-to-date information such as the course layout and tee time is communicated.

So far so good, but what if someone doesn’t sign up? Then, of course, it is automatically followed up once with a reminder to register.

With the help of progressive profiling further information about the participants such as the golf handicap or the name of the golf club is captured. This information then does not need to be provided next time.
